"Case Owners" are assigned by appointment. This designates which vet is overseeing the appointment and automatically assigns billing and medical records to this doctor. Always verify the "Case Owner" is accurate when recording notes/billing. |
All charges should be added to the "Treatments/Procedures" section of a Clinical Record (except medications). |
This is the most important section of a Clinical Record (Medical Note) because this is where all procedure descriptions, client discussions, and plans will be recorded. This is also where we will add all billing/charges (except medications).
(Blue) Adding a Treatment/Procedures Note
Selecting the "+" to the left of Treatment/Procedures will open a pop-up window
This window is slightly different from all other Clinical Record windows
(Orange) Assigned Vet
The "Vet" box will autofill based ont he current "Case Owner". The caser owner is automatically assigned to whichever doctor the appointment is scheduled under. The "Case Owner" can be changed if needed (see section ___)
If the "Vet" box is incorrect, you must change the "Case Owner"
(Pink) Group Codes are Contained in Templates
Template details can be found in section ___
All Cornerstone "Group Codes" have been transformed into templates
These templates will either be found under the Therapeutic/Procedure search box shown above
Click the magnifying glass to see all options
Only one "Therapeutic/Procedure" template can be used in this pop-up window
If more "Therapeutic/Procedure" templates are needed, simply add an additional "Treatment/Procedure" pop-up by selecting "Add & continue" or by clicking the "+" symbol again (circled in blue in the picture above)
Otherwise, the templates will exist in the box labeled "Template" shown above
Either click the magnifying class to see all options (this is an extensive list)
Or begin typing your "Group Code" into the "Template" box and EzyVet will populate options
Multiple "Templates" can be used in a single pop-up window
After adding one template, type in the "Template" search box again to add another
(Yellow) Treatment/Procedure Notes
This section is the equivalent to the "Plan" section of Cornerstone Medical Notes
If a template is used, text will automatically populate in this section
Use "tab" to answer questions and move through the template
You can also free type in this box (whether a template is used or not)
This is where you'll store all information regarding procedure performed during a visit
Including, vaccine, labwork, ear cleaning, etc
This is also where you'll record client discussions
(Purple) Saving Treatment/Procedures
Clicking "Add" will save and close the current Treatment/Procedure pop-up window
Clicking "Add & continue" will save and close the current Treatment/Procedure pop-up window and open a new Treatment/Procedure pop-up window
This is helpful if you need to use multiple "Therapeutic/Procedure" templates to a single Clinical Record
(Green) Billing Trigger Product(s)
This is where ALL non-medication charges are added
Even though this area exists in all sections of the Clinical Record, this should ONLY used in the Treatment/Procedures section of the Clinical Record
If charges would have been added via a Group Code in Cornerstone, they will now be added via a template in EzyVet.
This is the case for Rover's charges since he is here for a vaccine and HAT
In Cornerstone, these charges would have been added via the "WELLG" group code
In EzyVet, we are going to search for the "Therapeutic/Procedure" template, "Canine Wellness/Vaccines"
Below, you can see what it looks like when the "Canine Wellness/Vaccine" Therapeutic and Procedure Template has been added

As you can see, adding the "Canine Wellness/Vaccines" Therapeutic/Procedure template (yellow) automatically added the items circled in orange
Our "specifics" box now contains a lot of text, variables, and characters. Don't worry about how this looks currently. Simply use "Tab" on your keyboard to move through this text. As you do so, pop-up windows will ask you simple questions about the appointment
As you answer the questions, this section of the medical note will fill out AND "Billing Trigger Product(s)" will start to appear
Certain question require additional hand-typed information (ei: where a vaccine was administered on a patient)
Below, you can see the end result of hitting "tab" through this section

This note is now much easier to read
The only thing I was required to manually type is highlighted in yellow (the location of the rabies vaccine). Everything else (including Billing Trigger Products) was automatically added by hitting "tab" on my keyboard and answering simple questions
If a charge wasn't contained within a Group Code in Cornerstone, it will need to be manually entered.
Let's say we also cleaned Rover's ears during this appointment:
Next to "Billing Trigger Product(s)" click the green "+" symbol
In the search box, begin typing "ear" and select "ears cleaned"
Don't forget to add this to your note!
Add this by free typing "Cleaned AU with EpiOtic" in the "Specifics" section of the Treatment/Procedures window
